Executive Assistant support - Office Manager

Responsibilities
Directly reporting to the Group CEO Executive Assistant, the Executive Assistant support - Office Manager will provides high-level, confidential administrative support to the Group CEO team and ensure the smooth running of an office on a day-to-day basis and support company operations.

Main activities
The Executive Assistant support - Office Manager has operative and strategic functions in the management of the Durini office.
His/her main activities are:
• Support Group CEO Executive Assistant team with duties that may be clerical, administrative and project-based (scheduling travel, arranging meetings, handling information requests, preparing reports and correspondence and liaising with board members);
• Prepare internal and external corporate documents for team members;
• Arrange corporate events;
• Maintain an organized filing system of paper and electronic documents;
• Uphold a strict level of confidentiality;
• Serve as the point person for Durini office manager duties including:
    • maintain the office condition and arranging necessary repairs;
    • liaise with facility management vendors, including cleaning, catering and security services;
    • organize office operations and procedures;
    • coordinate with IT Dept. on all office equipment;
    • support in-house activities like company events, celebrations and conferences;
    • provide general support to visitors.

Experience and Education
• 2/3 years of experience in Office management or executive assistant;
• Degree in Economics/International Relation/Foreign Languages will be appreciated.

Technical and Soft skills
• Fluent English;
• Second language is a plus;
• Good knowledge of MS Office suite;
• Excellent relational skills;
• Ability to multi-task and prioritize work;
• Attention to details and problem solving;
• Result orientation;
• Reliability and accuracy;
• Teamwork.
